Change Management Control Plan

by | Nov 30, 2023 | questions

Based on your understanding of the topic, create a 2- to 3-page report in a Microsoft Word document to express your views on the following:

  • Explain how changes are documented and submitted in the change control management plan keeping in mind the factors such as roles and responsibilities related to the project.

Support your responses with examples.

Cite any sources in APA format.

Change Management

One of the key steps to ensuring a project’s success is change management, which is a formal process to protect the project scope. Change is inevitable in a project, but can have a disastrous impact, if not handled in a documented change control process.

Types of Changes

Changes can come from all areas of the project. Some examples of changes in projects are management asking for a new feature, a team member quitting during the project, new technology that would make more sense to use that becomes available after planning the project, failure to meet assigned deadlines, vendor delays, or a need to reduce the budget.

Any type of change can impact the project and must be dealt with in a formal way. Some changes seem small, but changes will add up. Scope creep is something to watch out for; the original scope is defined at the beginning, but grows a little at a time during the project. The best way to avoid scope creep is to have a documented change control process.

Change Control

In order to change the scope of a project, the change control process should look at the justification behind the change and determine what the impact will be on the project. This process should define what the procedures are for proposing, reviewing, and allowing changes to the project. Changes may be reviewed by:

  • Value
  • Costs
  • Schedule impact
  • Risks
  • Feasibility

Some organizations will have a change control board (CCB) that will be in charge of reviewing and analyzing all proposed changes. In order to request a change, a project change request form can be submitted detailing the change and why it is necessary. The CCB can review the change to determine the impact on the project and either approve or deny the change. In some cases, the change may have enough impact to warrant starting a new project to accommodate the change. If the change was approved for the current project, the project scope must be updated along with the work breakdown structure (WBS). The project management plan should also be updated for the new change, including any changes to budget, schedule changes, quality needs, resources, communication, risks, and procurement. The project manager should also keep team morale up, in case there is any discouragement with the new change.
